Office and Development Coordinator

Location: Washington, DC
Reports To: Development Director
Job Classification: Part-time (30 hours per week)

General responsibilities of the position

General Support (10-12 hours per week)

  • Coordinate various office tasks and functions to ensure office operations run smoothly at all times
  • Provide administrative support to the Executive Director, Director of Operations and Development Director
  • Makes travel arrangements such as booking flights, cars, and hotel or restaurant reservations as needed
  • Answers phone calls, schedules meetings and supports visitors
  • Exhibits polite and professional communication via phone, e-mail, and mail
  • Carries out administrative duties such as filing, typing, copying, scanning, etc.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
  • Contributes to team effort by accomplishing related results as needed

Development Support (15-18 hours per week)

  • Coordinate gift and pledge tracking.
  • Enter records in database and process all incoming gifts and pledges
  • Send timely acknowledgments of all gifts and pledges
  • Total gift batches, confirm deposit amounts, scan gift backup, prepare and make bank deposits
  • Produce monthly reports on revenue and expenses of the Annual Fund and any additional fundraising campaigns in collaboration with the Development Director
  • Maintain accurate and up-to-date donor lists
  • Assist the Development Director in sending fundraising e-blasts, specialized fundraising emails, in-house mailings, mail house mailings, and customized donor communications
  • Support the Board of Directors and Development Committee in ad hoc outreach campaigns to donors and prospects through phone calls, greeting cards, emails or personal notes
  • Assist with research and creation of reports for monthly Development Committee and annual Board of Directors meetings
  • Assist with research for Annual Report
  • Assist the Development Director in planning and producing development events ( online and in person)
  • Conduct donor/grant prospect research as directed by Development Director
  • Achieve proficiency in current and future databases, PressPoint and MailChimp software, and learn new software as needed
  • Other duties as assigned

Experience, Abilities & Skills

  • Bachelor’s degree preferred
  • Minimum of 1-3 years of work or intern experience in administrative support, ideally in nonprofit fundraising
  • Excellent time management skills, with attention to detail
  • Proficient with Microsoft Office Suite applications and Zoom video conferencing
  • Administrative Writing Skills
  • Ability to work independently as well as collaboratively; self-starter; proactive problem solver
  • High level of professionalism. Ability to exercise discretion and good judgement
  • Preference will be given to candidates from the Metro Washington, DC area because occasional on-site office work will be required.
  • We are prioritizing applicants interested in working more hours in the future.

Salary

$30,000 – 40,000 Hourly rate
